Job Description

OCX is a Melbourne-based Owners Corporation management company delivering professional strata and property management services across residential and mixed-use developments. Due to continued business growth, we are seeking an experienced Office Manager to oversee administrative operations and support our Owners Corporation Managers onsite.

About the Role

The Office Manager will be responsible for organising and coordinating office administration procedures, supervising support staff, and ensuring efficient service delivery across the organisation. This is a leadership role requiring strong organisational, operational and stakeholder management skills.

Key Responsibilities

Key Responsibilities

  • Overseeing and coordinating day-to-day administrative operations to ensure efficient workflow and service delivery
  • Supervising, mentoring and performance-managing administrative and support staff to ensure tasks are completed accurately and within required timeframes
  • Allocating and distributing workloads, prioritising urgent requests and monitoring progress using project management systems such as Trello and Urbanise
  • Establishing, reviewing and improving administrative systems, procedures and workflows to enhance operational efficiency
  • Monitoring team performance, identifying service gaps and escalating operational issues where required
  • Providing high-level administrative and operational support to Owners Corporation Managers, including preparation of reports, meeting documentation and correspondence to residents
  • Assisting with new business development by drafting proposals, preparing contracts and coordinating supporting documentation
  • Managing office records, documentation systems and compliance registers
  • Overseeing basic office accounting functions including invoice coordination, payment tracking and record reconciliation
  • Liaising with contractors, clients and stakeholders to support service delivery and maintain professional standards

 

Skill & Experience

Essential Criteria

  • Relevant tertiary qualification in business administration or management (or equivalent work experience)
  • Minimum 2–3 years’ experience in office management or administrative leadership
  • Strong organisational and time management skills
  • Experience using workflow/project management systems
  • High level written and verbal communication skills
  • Proficiency in Microsoft Office and office management systems

Desirable

  • Experience within strata, property management or real estate sectors
  • Understanding of compliance and record management requirements

This is a full-time permanent position based in Melbourne, VIC.
