About the Role

We are looking for a Contract Administrator to manage projects and contracts from initial quotation through to completion. This role combines contract administration with a management focus, including coordinating documentation, tracking contract progress and costs, preparing variations, and ensuring contractual obligations are met. You will liaise with management, external contractors and clients, help oversee internal staff involved in project delivery, support decision‑making, and contribute to improving systems and processes to ensure smooth delivery of multiple projects in a busy, growing business. The successful candidate will have a minimum of one (1) year of full‑time experience in contract administration, project coordination or a similar role

Key Responsibilities

– Prepare, review and update contract documentation, variations, purchase orders and related project paperwork.  

– Coordinate responses to client and supplier enquiries and help resolve issues related to contract terms, deliveries, pricing or scope.  

– Maintain accurate records for each project, including quotes, signed agreements, progress updates and completion reports.  

– Work alongside project managers and senior staff to ensure contract milestones, budgets and timelines are met.  

– Prepare regular summaries and reports for management on project status, contract changes and identified risks or issues.  

– Monitor subcontractors and suppliers against agreed terms and report discrepancies or required changes.  

– Gather and analyse basic project data (costs, timelines, variations) to help improve processes and support business decisions.  

– Assist with coordinating workspace or storage requirements, including minor office or yard layout changes to support project needs.

Skill & Experience

Skills & Experience

– Previous experience in contract administration, project coordination or a similar role (construction, civil, landscaping or related sector preferred).  

– Strong attention to detail and accuracy with documentation and record keeping.  

– Confident reading and interpreting quotes, scopes of work, basic plans and contract terms.  

– Good written and verbal communication skills – able to deal professionally with clients, suppliers and internal staff.  

– Proven ability to manage multiple tasks, prioritise workload and meet deadlines.  

– Solid problem‑solving skills with a practical approach to resolving contract or delivery issues.  

– Comfortable working independently and as part of a team.  

– Competent with Microsoft Office (Word, Excel, Outlook) and able to learn new systems quickly.  

– Strong numerical skills for checking pricing, quantities and variations.  

– High level of professionalism, reliability and customer service focus.

Licences & Requirements 

– Valid Driver’s Licence.  

– Forklift Licence (or willingness to obtain).  

– Current Working With Children Check (or willingness to obtain, if required for sites).  

– Current First Aid certificate (or willingness to obtain).  

– Understanding of Work Health & Safety (WHS) requirements and safe work practices.
