Job Description

The role

We are seeking a Trainee Site Administrator to support our team on our Woree-based construction project.

This will be a site-based role, meaning regular travel to Woree, as it will require the successful candidate to work full-time on site.

We’re looking for candidates from a broad range of backgrounds. You may:

  • Have worked in administration in a different industry and want to get a start in construction.
  • Have no prior admin experience but be passionate about construction and looking to get some practical experience.

To value-add, it’s important you have a proactive “can do” attitude and look to take the initiative to get involved with ad-hoc tasks and proactively seek additional work.

Key Responsibilities

Summary of Responsibilities:

General Administration:

  • Assisting Engineers, Supervisors and the broader team with administrative tasks

  • Welcoming guests and assisting with reception tasks on an ad-hoc basis

  • Making and receiving orders (i.e. milk, fruit, stationery etc.)

  • Electronic filing, scanning & data entry 

  • Monitoring & ordering of stationery, toner etc.

  • Taking Meeting Minutes

  • Maintain recording systems and registers

 

Finance Administration:

  • Register daily dockets for plant, labour and materials

  • Maintaining project registers and timesheets

  • Accounts Payables & Receivable tasks (i.e. site invoicing) 

  • Generation and processing of Purchase Orders

  • Assist in booking travel arrangements

Skill & Experience

About you

Competencies we’re seeking include:

  • Be undertaking, or be willing to undertake, an approved training course in business administration or similar

  • Previous office admin (desirable)

  • Good written & verbal communication skills

  • Punctual and reliable

  • Intermediate computer skills (word, excel and outlook)

  • Willingness to learn new systems and take on any tasks that may be required

  • Previous experience in the construction industry is preferred. 

  • White Card (or be willing to obtain prior to starting)
