Job Description
This position combines three critical project support functions—permits coordination, trade
procurement, and contract administration—to ensure the seamless execution of restoration and
construction projects from pre-start through completion. The role focuses on compliance, cost
control, document management, subcontractor engagement and building permit obtainment.
Key Responsibilities
Trade Procurement
• Source and allocate suitable sub-contractors to deliver
construction projects from existing Ethos database.
• Allocate work orders and manage costs of trades in line with
company targets and set KPI’s
• Ensure work orders and trade quotes are aligned with expected
onsite works
• Liaise with supervisors to obtain feedback and monitor trade
performance
• Identify when additional subcontractors are required and
commence sourcing and onboarding of new trades.
Permit delivery
• Coordinate and monitor the progress of all building permit
applications in consultation with the broader construction and
claims team
• Manage MDBC and commercial contract compliance and
amendments
• Manage contractor compliance and subcontract agreements
• Application and closure of HOW insurance certificates on
domestic projects
• Application and management of municipal and infrastructure
permits (road occupation/closure permits, etc.)
• Prepare and manage Request for Information (RFI) documents
from the building surveyor
• Oversee the documentation of all stages of working drawings,
• Preparation of approved permit documentation (stamped
plans) for site use, including associated permit details and
OH&S coordination plan site signs
• Monitor and schedule critical building permit inspections and
documentation in conjunction with construction supervisors
and issued permit requirements
• Collate final inspection documents, apply for final inspections,
and manage permit close-out
Skill & Experience
Technical Capabilities
• Minimum 2 years in a similar role (insurance/building industry
preferred)
• Strong building and construction knowledge
• Familiarity with Australian Standards, WHS obligations, and tendering/contracts frameworks.
• Strong computer literacy
• Strong communication and organisational skills
• Analytical and problem-solving mindset
• Ability to manage competing priorities
